WHO YOU ARE
Artemis by Nomi Health is looking for a part-time experienced Executive Administrator, who will report to our Director of Program Management, and will provide comprehensive support to the company’s President and business units. This position requires a proactive, detail-oriented, self-motivated individual who can effectively manage multiple tasks and responsibilities while maintaining a high level of professionalism. Adaptability is key for this role as you may be asked to support more than one department and extend support where needed. You have prior executive administration experience in a SaaS environment, preferably a start-up, and are driven by the mission of improving healthcare. You believe that you can make it easy for a diverse team that includes skills in product, engineering, finance, sales, and HR to have efficient collaboration through events, meetings, processes and documentation that you support single-handedly.

WHAT YOU'LL DO:

    Client and employee event planning
  • Coordinate all logistics associated with employee and client onsite and virtual events
  • Partner with other business leaders to identify ways to enable the Artemis team to have fun through events like Artethon, team-collaboration activities, monthly Pulse meetings, and virtual team events.
  • Calendar and Expense Management
  • Act as a trusted liaison and provide seamless administrative support to the company’s President.
  • Manage calendars, send Outlook invitations for both employee and client meetings, and handle travel arrangements and expense reimbursement.
  • Coordinate and prioritize meetings, ensuring time is optimized for strategic decision-making.
  • Ensure prompt and accurate correspondences.
  • Office Management and Logistics
  • Provide support, as needed, at the Austin office for onsite meetings, AV needs, welcoming and escorting clients, setting up and cleaning up catered meals for events, and coordinating and attending local evening events.
  • Communication and Correspondence
  • Draft, proofread, and edit correspondence, reports, and presentations.
  • Maintain clear and effective communication channels between the Executive, internal teams, and external stakeholders.
  • Information Management
  • Prepare, format, and edit a range of documents (MS Word, Excel, PowerPoint), including reviewing, managing, finalizing, and storing documents.
  • Maintain the company Sharepoint site to ensure information is kept up-to-date.
  • Assist with organizing Confluence, Sharepoint, and Teams channels.
  • Inventory and Gift Management
  • Administration of purchasing company swag, employee gifts, and client gifts through ordering, managing onsite inventory, and shipping out items as needed for the company kickoff, holiday gifts, etc.
  • Relationship Management
  • Build and maintain strong relationships with internal and external stakeholders, including employees and clients.
  • Represent the President professionally and maintain a positive image for Artemis.

WHAT YOU'LL HAVE:

  • 5+ years of experience in an Executive Assistant, Executive Administrator, or similar role supporting C-suite executive(s) at a startup and SaaS company.
  • Excellent Microsoft Office Suite skills
  • Outstanding verbal and written communication skills. Ability to draft, proofread, and edit professional correspondence and documents with a high level of accuracy. Meticulous attention to detail, ensuring accuracy and quality in all aspects of work.
  • Strong organizational skills with the ability to multitask and prioritize effectively, in a fast-paced environment, with little to no supervision.
  • Demonstrated ability to change gears quickly with competing priorities.
  • Highly proactive and self-motivated, with the ability to anticipate needs and take initiative.
  • High level of integrity and discretion in handling all confidential information.

WHAT COULD HAVE YOU STAND OUT:

  • Prior experience using tools like SharePoint, Confluence, and Jira.
  • Experience working with onshore and offshore teams.
  • Healthcare industry experience.
